ParishSOFT Family Directory mailings reminder

I’ve heard from a few staff members who meant to send a letter to all of the registered households within their parish and mistakenly included households that were designated as unregistered or deceased. I thought it would be a good idea to remind everyone of the importance of using the Filtering Icon before you pull a Family List or Mailing Labels. Use the filter to choose “registered” and also which “family group” designation you want (ie “active”), then click on the Quick Reports on the right-hand side of the screen to pull your list or labels for that “filtered” group.

*The filter icon looks like this and is located just to the left of the blue Add Family button on the main family screen.

The Diocese of Sioux Falls has four available Zoom Business licenses at nonprofit rates ($100-$110 annually per license)
Zoom Basic vs Zoom Business
Zoom Basic = Free
    • Limited to 40-minute meeting
    • 100 attendee limit
    • can record meetings but storage is local to your computer
Zoom Business = $100-$110 annually
    • unlimited meeting time
    • 300 attendees
    • 5 GB Cloud storage for recordings
An existing email account can be used and assigned to the Zoom license OR a new generic email address can be established and assigned to the license.

Updated Diocesan Directory available now

We have been busy updating the Diocesan Directory with all of the recent moves and pastorate changes. 95% is complete and available to you now. Like last year, there will not be a printed copy mailed out due to the costs involved and the ever changing nature of this resource.

All are welcome to download to your local device and print on an as-needed basis. We encourage you to check back throughout the year for updated versions.

Set Ablaze Flocknote Information

The Set Ablaze Flocknote network is a free communication platform that is available to be used by any church or pastorate during the Set Ablaze pastoral planning process (ending approximately July 2024).
*If a parish or pastorate would like to continue to use Flocknote after July 2024, please contact the diocesan IT office and we can get information about costs and migration of data.
This communication tool is organized first by pastorate with every church within the pastorate listed below. This allows for communication at a pastorate level and/or an individual church level.
Pastorates and churches can add additional groups to the platform in order to communicate with those specific groups.
Examples of other groups:
  • finance councils
  • planning committees
  • pastoral councils

This network is pre-populated with members pulled from ParishSOFT Family Directory.

The criteria we used to pre-populate Flocknote

  1. Member had to be registered and active in the parish  “and”
  2. The member was 18 years or older (if there was no birthdate listed a minor may have been pulled in)  “and”
  3. Member had either a phone number or an email address listed (you must have an email or a mobile number to be a member of Flocknote)
*If the criteria listed above were not met, the member was not added to the pastorate or church. We would highly recommend that someone local review the members listed in each individual parish before sending any communication.
Flocknote user permission levels:
1. Group Admin – Can manage members (add, edit, delete), send notes (text or email) and change settings for this group and this group only. You can have multiple group admins. You can assign a group admin to the pastorate as a whole and you can assign different group admins to individual churches.
2. Note Sender – Note senders can send notes (text or email) to a particular group but can’t manage members (add, edit, delete) or change settings to the group.

Set Ablaze Flocknote Tool Available for All Pastorates/Parishes

Flocknote and the diocese’s IT office have established a communication network for all parishes/pastorates in the Diocese of Sioux Falls to help keep parishioners informed during this next year of the Set Ablaze pastoral planning.

Details

  • There is no cost to use this communication tool
  • Organized first by pastorate and then by each parish within the pastorate
  • Pre-populated with ParishSOFT members who had email or mobile numbers listed in ParishSOFT
    • Only members over 18 years old are included
    • If members had no email or mobile numbers, they were not included
  • Use of this tool is not required (especially if parish already uses Flocknote or another communication tool)
  • Many parishes are currently updating parish census info; member info will be updated in Flocknote during June/July/August
  • Flocknote can be used to send emails, email newsletters, and/or texts as well as surveys
  • Training videos and IT support are available
  • If interested, please contact Dawn Wolf (dwolf@sfcatholic.org or 605-988-3707) to assign Flocknote admin/s to your pastorate or parishes.

Set Ablaze Communication Considerations

Goal:

Increased parishioner engagement within each pastorate. Good communication will be critical to involvement during the next phase of the pastoral planning process.

Recommendation:

Each pastorate/parish would initiate an information gathering effort to collect updated member and household data, especially emails and mobile numbers. Using various means to gather the information from parishioners will increase the effectiveness of the effort. Here are some suggested methods:

  • Bulletin and pulpit announcements
  • Pew cards
  • Website forms
  • Social media posts
  • QR codes on signage
  • Emails and texts
  • Physical mailings (census forms in ParishSOFT)

Parish/pastorate staff will enter the collected information into member and household records within ParishSOFT.

*The Flocknote communication tool is available to any parish and pastorate to communicate information about pastoral planning meetings and activities free of charge. (Now through June 30, 2024)

Digital Spring Cleaning in 7 Simple Steps

Overview

We often hear of the term “spring cleaning,” the time of year when we go through our belongings and organize our house and lives in preparation for the upcoming summer. This is also the perfect time to take an annual review of your digital life. The following seven simple steps, taken once a year, will go a long way toward ensuring you can make the most of technology, safely and securely.

ACCOUNTS: Review each of your accounts. Using a long, unique password for each account ensures that if one account is compromised, your other accounts are still safe. Can’t remember all those different passwords? Don’t worry, neither can we. We recommend you use a password manager to securely store all your passwords and make your life far simpler and more secure. Enable multi-factor authentication (MFA) when possible, especially for your personal email or financial accounts. This is the single most important step you can take to secure any online account. If you have any online accounts, you have not accessed in over a year, it could be time to simply delete them.

PROGRAMS: Keeping your devices and software updated and current ensures you have the latest security features installed and known vulnerabilities are fixed. The simplest way to do this is to make sure you have automatic updating enabled on all your computers, mobile devices, and even smart home devices. Also, delete any unused programs or apps on your mobile devices and computers. Some apps require large amounts of storage, can introduce new vulnerabilities, and may even slow things down. The fewer apps you have, the more secure your system and your information remains. Many devices show you how long it has been since you’ve used an app. If it has been a year since you last used the app, chances are you don’t need it anymore.

FINANCES: Verify that your bank accounts, credit card accounts, investments, and retirement accounts are configured to alert you whenever a transaction is made, especially for unusual sign-ins, large purchases, or money transfers. This will make it so that you are always notified when a financial transaction occurs and you can spot any fraud or unauthorized activity right away. The sooner you identify fraudulent activity, the sooner you can stop it and the more likely you can recover your money. Depending on which country you live in, an additional step you can take is to implement a credit freeze, which can be one of the most effective ways to protect your identity.

DISPOSING OF DEVICES: Over time you may find yourself collecting old devices you no longer need – perhaps an old smartphone or smart home device. If you dispose of any of these devices, first wipe any personal information from them. Most devices have a simple wiping function that securely purges all personal information (or reset to factory default) before disposing of the device.

BACKUPS: No matter how safe or secure you are, at some point you will most likely need backups to recover your important information or migrate your information to a new device. Set your devices to automatically back up to the cloud. Creating and scheduling automatic backups allows you to recover your most important information.

PARENTING: If you are a parent or guardian, this is a good time to review any parental controls settings you have in place for children. As children get older, you will most likely need to update these controls settings.

SOCIAL MEDIA: Review privacy settings on your social media accounts – these are a goldmine of personal information. Review your accounts to check that you are not sharing sensitive information such as your birthday, phone number, home address, banking information, or geo-location in personal photos.

Spending just a couple hours a year taking these steps will go a long way toward protecting you, your devices, and information.
